Overview of the Position

The Accountant is knowledgeable in all aspects of and supports the Director of Finance in carrying out the responsibilities of the Business Office.  The Accountant reports to directly to the Director of Finance.


  • General Accounting

    • Maintaining books of account (including but not limited to processing bills, preparing checks, gathering receipts, coding and posting invoices, preparing and recording deposits, journal entries, reconciliations)

    • Reviewing all expense reports for accuracy and proper expense disclosure classification and reporting any variances to the Director of Finance

    • Completing monthly reconciliation for all bank accounts

    • Reviewing outstanding check log and communicating status to Director of Finance

    • Prepares monthly, quarterly and/or annual balance sheet schedules and account analyses.  Research and resolve accounting discrepancies. Prepare adjusting and correcting journal entries as needed

    • Maintains Fixed Asset Ledgers, capitalizing acquisitions, recording depreciation and disposals. Prepares fixed asset reports and posts entries to the general ledger

  • Student Billing and Accounts Receivable

    • Completing all student billing functions (tuition, summer programs, and fees for other services)

    • Assisting Director of Finance with Financial Assistance process as needed

    • Updating revenue and financial assistance accounts monthly

    • Reviewing accounts receivable, updating payment schedules in QB, Excel and FACTS, and following up on past due accounts

    • Liaising with Director of Marketing and Admissions on student enrollment changes

  • Payroll and Benefits Administration

    • Responsible for payroll function.  Includes preparing and processing bi-monthly payroll and updating payroll audit schedules (salaries, taxes and benefits)

  • Coordinating with the Development Office

    • Liaising and reconciling with Development Director on donations, fundraising and grants

    • Assure all donations are recorded according to donor restrictions

  • General

    • Assists in the design and/or implementation of accounting department projects

    • Maintains the confidentiality of sensitive financial and other data

  • Tax Reporting

    • Responsible for collection of W9 forms for all vendors

    • Prepares annual 1099 filing


  • AA degree, accounting or business administration major, and three years of related experience.

  • Experience in non-profit accounting and knowledge of related FASB requirements preferred. Understanding of accounting theory with ability to research and resolve accounting application.  Knowledge of non-profit reporting and tax filings preferred.

  • Experience with Quickbooks and FACTS preferred.

  • Proficient with Microsoft Excel.
